Projects & Security Administrator

Reporting to the Senior Project and Security Manager, Downtown Calgary, the Projects & Security Administrator will provide administrative support to assigned special projects, construction activities and security departments, for Armco Alberta’s downtown Calgary assets.

Projects & Security Administrator - Projects Key Responsibilities

· Coordinate access to tenanted premises in support of construction activities.

· Collect and input all contractor work permits, ensuring all property pre-requisites are met, prior to allowing work to commence.

· Draft construction related correspondence, including but not limited to:

  • Premise Readiness Notice
  • Prime Contractor Designation
  • Commencement of Construction

· Collect, verify, and archive all applicable project close out documentation

· Draft and/or issue purchase orders or contracts in support of ongoing projects

· Maintain fiscal trackers for different projects, accounting for actual and forecasted costs.

· Assist in reforecasting and year end activities by conducting audit of all applicable purchase orders

· Other duties as dictated by operational necessity.

Projects & Security Administrator - Security Key Responsibilities

· Schedule, issue purchase orders for and archive reports for all preventative maintenance pertaining to:

  • Electronic access control system
  • Video surveillance system
  • Life Safety (Fire) System

· Track and archive reporting for all internal inspections and audits. Where required, escalate to Security Managers/Supervisors and/or Senior Project and Security Manager to ensure compliance.

· Conduct annual card holder audits of each property’s access control system.

· Conduct annual audit/renewal of all tenant emergency contacts. Ensure data reconciles with mass notification and emergency management databases.

· Carry out monthly audit of incident reporting software, providing open reports to respective Security Managers/Supervisors and Senior Project and Security Manager.

· Assist in reforecasting and year end activities by conducting audit of all applicable purchase orders.

Other duties as dictated by operational necessity

Qualifications:

· 3+ years of experience in an administrative capacity, in a commercial real estate environment.

· Knowledge and understanding of construction processes and practices.

· Knowledge and understanding of security processes and practices.

· Understanding of various security platforms, such as video surveillance, electronic access control, and incident reporting.

· Strong organizational skills.

· Excellent communication and interpersonal skills.

· Advanced skills in computer-related software would be an asset (word, excel, MS Project, BlueBeam, etc.)

· English (Spoken and written)
